Why Your Company Needs a GenAI Policy for Content Contributors

“Wikipedia Bans AI-Generated Content,” or some variation of that headline, captured online newsfeeds on March 26, 2026. But Wikipedia’s announcement, while consequential (impacting 7.1 million articles), wasn’t that unusual.

In 2025, several large publishers released policies governing the use of generative AI (genAI) in content development and editorial workflows. Organizations such as Elsevier, John Wiley & Sons, and SAGE Publishing recognized the growing reality: AI-assisted content creation had already entered the workplace, often faster than governance and guidance could keep pace.

The concern is practical rather than theoretical. GenAI tools introduced new questions about factual accuracy, fabricated citations, copyright exposure, confidential data, manipulated images, and growing challenges with authorship and ownership.

Small companies face many of these same risks.

A content department generating online content through AI prompts, a software company creating AI-assisted chatbots, or a nonprofit drafting donor communications with AI tools all face important questions:

  • What kinds of AI use are acceptable?
  • What kinds of AI use should be restricted or prohibited?
  • When should AI use be disclosed?
  • Who remains responsible for validating accuracy?
  • How should confidential information be protected?

For content managers and project managers, particularly in organizations that outsource content creation, an AI policy for content contributors is more than a legal safeguard. It is a governance tool that helps preserve content quality, establish accountability, and maintain trust with audiences. In this blog post, I outline the key elements of AI policy.  

Why AI Policies Matter for Small Organizations

When organizations push for genAI adoption, they can sometimes put the cart before the horse—rushing experimentation with AI tools without fully developing organizational guardrails. A December 2024 study by Deloitte and Touche found that nearly two-thirds of organizations adopted genAI without first establishing appropriate governance.

During the early stages of adoption, some organizations saw employees begin using AI for drafting and summarization. Freelancers experimented with AI-generated copy. Researchers used AI tools to chart data. Marketing teams tested AI-generated images. Editors used AI-assisted rewrites and readability suggestions.

Sometimes these experiments were sanctioned, small-scale, and appropriately bounded. Just as often, this experimentation occurred discreetly, using private tools and without the recipient’s awareness or supervision. Deloitte calls this “shadow AI” use.

That secrecy creates the risks I noted in the introduction.

To mitigate the risk, all firms that accept outside submissions should develop an “acceptable use” policy for researchers and content contributors who use AI. A well-designed AI policy helps organizations:

  • Protect brand voice and content quality
  • Reduce legal and reputational exposure
  • Establish consistent editorial expectations
  • Clarify accountability for published material
  • Protect confidential and proprietary information
  • Create transparency around AI-assisted work

When would such a policy be applicable? Consider a few common scenarios:

  1. A freelance contributor submits an article largely generated through AI prompts but does not disclose that use. The article contains fabricated references and inaccurate claims.
  2. A marketing employee uploads confidential customer information into a public AI tool to generate personalized messaging.
  3. An editor relies too heavily on AI-generated summaries and overlooks factual inaccuracies introduced during the summarization process.
  4. A team uses AI-generated imagery in public-facing materials without verifying ownership rights or licensing restrictions.

In every case, the organization, not the AI tool, suffers the consequences of the outcome.

Wikipedia learned some tough lessons as it evolved its AI policy. In 2023, the community deemed that a ban on AI use was “too harsh.” But a Princeton University study in October 2024 found that 5% of 3,000 recently written articles on English Wikipedia were created using AI. That led the community to adopt a policy in August 2025 allowing users to nominate suspected AI-generated articles for speedy deletion. The March 2026 decision, while it doesn’t ban all uses of AI, prioritizes a human-centered approach.

Small organizations can adopt a similar approach.

What Established Organizations Are Doing

Large publishers and knowledge organizations have approached AI governance in various ways, but several themes and expectations recur across their policies.

I examined the policies from Elsevier, Springer Nature, John Wiley & Sons, Taylor & Francis, and SAGE Publishing. Here are the common themes that I saw:

  • AI cannot be attributed as an author or co-author.
  • AI cannot be used to generate or manipulate images, figures, or cover art.
  • AI cannot be used as a substitute for core research or critical thinking.
  • Manuscripts (published or unpublished) and images cannot be uploaded to AI.
  • Authors must verify that the AI tool’s terms and conditions do not restrict use.
  • Authors must disclose their use of AI.

Most policies permit some use of AI on the front end, such as for ideation, and on the back end for “language improvement.” Even the new Wikipedia policy allows authors to use AI to copyedit their own material. Wikipedia also accepts the use of machine translation from one language’s Wikipedia to another, citing its use of bots since 2002.  

Many of these companies dig even deeper, tying their policies to author expectations, guidelines, and values statements. I examine the most prevalent of these in more detail.

Reality of AI Is Accepted

Most of these policies include a preamble that recognizes “the potential of generative AI and AI-assisted technologies” (Elsevier) and their value as “part of the writing and research process” (Wiley). They make clear that the role of the policy is not to discourage innovation or technological progress. Instead, they promise to help and guide authors “to make informed decisions about the role of AI in their writing” (Wiley).

Additionally, most policies state somewhere that the policy itself is subject to change as technology evolves. That’s a good out should the rumored power of Anthropic’s anticipated Claude Mythos and similar next-generation AI models pose additional challenges to publishers.

Human Accountability Remains Central

Next, most policy preambles emphasize the importance of human responsibility and accountability, placing the onus for any AI-associated risk, error, or omission squarely on the shoulders of the human author.

Many use the term “human-centered” to underscore the value they place on originality in research and content creation. Wiley’s guidelines, for example, state that AI is to serve only as a “companion” and emphasize the need for human oversight.

The reasoning is straightforward: AI systems cannot assume responsibility for factual accuracy, privacy protection, or legal compliance. Humans must.

Disclosure Is Increasingly Expected

The policies often get quite detailed about how much they expect human authors to disclose their use of AI in the work. Some require the disclosure to be made to the editorial staff; others require that the submission itself include a disclosure statement. In some cases, both are required.

Disclosure expectations may include:

  • Identifying the tool used
  • Describing the purpose of the AI assistance
  • Explaining the extent of AI-generated material
  • Confirming that humans reviewed and validated the content

The goal is transparency.

Privacy Must Be Protected End-to-End

Workflow is not necessarily dictated in these policies. But most touch on what an author should not do: risk sensitive data or upload original material to a public AI tool.

Specifically, authors must safeguard personally identifiable information (PII) and confidential and proprietary information in their datasets when using AI. Additionally, peer reviewers and editors must avoid using genAI for their review and revision work. In the latter case, assistive AI tools such as grammar and spelling checkers are usually allowed.

These guardrails are especially important when the authoring researchers work in sensitive fields such as healthcare.

Bias and Infringement Must Be Avoided

One unusual expectation in some policies is that authors must “be aware of bias” in AI output. Wiley, for instance, urges authors to “take steps to mitigate” stereotypes and misinformation. SAGE Publications asks authors to ensure that their work is “inclusive, impartial, and appeals to a broad readership.”

How to perform such checks is unclear and might prove challenging when the AI tool is a black box, obscuring its own technological origins.

An author might encounter similar challenges when the publisher’s policy asks them to avoid copyright infringement. If an AI tool has hoovered up published manuscripts, unweaving copyright material from publicly available material might be more guesswork than not. Such stuff is what court cases are made of.

That said, however, I can see, overall, that the AI policies are these large publishers are clear, resolute, and focused on helping contributing authors. They are rarely built around blanket prohibition. Instead, they distinguish among acceptable, restricted, and prohibited uses.

A Risk-Based Approach to AI Use

That’s all well and good for the big guys. But how should a small organization go about building its own AI policy? One of the most practical ways to approach AI governance is through risk classification.

Not all content carries the same level of risk.

Using AI to brainstorm meeting titles, for example, presents far less risk than using AI to generate medical guidance, legal language, financial recommendations, or safety instructions. A practical policy can be built around these differences.

Low-Risk Uses

These uses may require only limited oversight:

  • Brainstorming headlines or titles
  • Generating outline ideas
  • Grammar correction
  • Synthesizing complex literature
  • Translation assistance

Moderate-Risk Uses

These uses may require review and disclosure:

  • Marketing copy
  • Blog post drafting
  • Customer communications
  • Social media messaging
  • Internal training materials

High-Risk Uses

These uses may require strict limitation or prohibition:

  • Legal or regulatory guidance
  • Medical or safety information
  • Financial recommendations
  • Confidential customer content
  • Technical specifications
  • Official organizational statements

A risk-based approach helps organizations create governance practices that are thoughtful rather than reactionary.

Decision Points for Building a Policy

During the process of drafting an AI policy, an organization should work through a set of determinations and distinctions. Look carefully at the who, what, when, where, and how of the policy’s major statements.

  1. Define the Scope: To whom does the policy apply? Some policies focus solely on employees while others include contractors, freelancers, consultants, and vendors. Consider where the greatest guidance and clarity are needed.
  2. Determine the Content Types Covered: Consider the full range of the content that the organization produces, including blog posts and images, and determine where your greatest vulnerabilities are.
  3. Distinguish Allowed, Restricted, and Prohibited Uses: This section often becomes the core of the policy. Organizations should clearly identify:
    • What uses of AI are acceptable
    • What uses require review or disclosure
    • What uses are prohibited entirely
  4. Describe Disclosure Expectations: Will contributors need to disclose their AI use only internally? Publicly? Both? How much detail do you need about a contributor’s AI use to feel comfortable about releasing the content?
  5. Define Human Review Responsibilities: Roles and responsibilities for human oversight must be clear. Do those responsibilities lie with the contributor or with the organization? The policy should specify:
    • Who validates factual accuracy
    • Who reviews tone and brand alignment
    • Who checks for fabricated information or plagiarism
    • Who approves publication
  6. Define Confidentiality Protections: Employees and contractors may not realize that public AI systems can retain or process submitted information. Policies should clearly define whether contributors may upload:
    • Customer information
    • Proprietary business information
    • Unpublished financial data
    • Internal strategy documents
    • Personally identifiable information
  7. Describe Consequences and Escalation Paths: Policies should explain what happens when violations occur. Clear escalation paths help organizations respond consistently.
  8. Describe Ownership and Review Cycles: Because of the evolving nature of AI technology, a policy written today may require revision within months. Organizations should identify:
    • Who owns the policy
    • How updates will be reviewed
    • How often revisions will occur

Making the Policy Operational

A policy that exists only as a document in a shared drive is unlikely to succeed. Governance practices must connect to real workflows. For example:

  • Onboarding materials should explain AI expectations
  • Contributor agreements should reference disclosure requirements
  • Editorial workflows should include review checkpoints
  • Project managers should understand escalation procedures

Training also matters. Through broadly available training sessions and documentation, organizations should help staff understand:

  • Common limitations of generative AI systems
  • Hallucination risks
  • Confidentiality concerns
  • Disclosure expectations
  • Appropriate prompting practices
  • Available tools and resources

Project managers play an important role here. Because project managers often coordinate workflows across departments, they are well-positioned to reinforce governance practices, establish review checkpoints, and maintain visibility into accountability throughout content development processes.

Trend: A Human in the Center

The Wikimedia Foundation’s response to generative AI reflects an important principle that many organizations are now rediscovering: authentic human contribution and judgment remain central to credible knowledge work.

That principle applies just as strongly to small companies.

Generative AI tools can support workflows, accelerate drafting, and improve efficiency. But they cannot evaluate organizational risk, understand audience impact, or assume ethical responsibility for published content.

Those responsibilities still belong to people.

For content managers and project managers, an effective AI policy is ultimately about preserving meaningful human accountability within increasingly automated workflows. As generative AI continues to reshape content operations, organizations that strengthen that accountability — rather than weaken it — will be better positioned to maintain quality, trust, and credibility over time.
